Only registered vehicles get fuel, only against an authorised ticket, and any fill that does not fit the vehicle’s record waits for a supervisor before a single litre is dispensed.
Logistics and transport operators, event organisers running shuttle fleets, companies with staff or pool vehicles, and anyone who pays a fuelling station on account.

Odometer outside route tolerance
Fuel control for fleets and event logistics: an approved vehicle and driver register, serial-numbered fuel tickets, odometer and litres captured at every fill, automatic exception checks with supervisor review, a fuelling-station portal, and fuel costs posted straight to event financials.
Register each vehicle with its Fuel ID, fuel type, tank capacity, maximum fill and km/L benchmark, and each authorised driver. Only listed vehicles can be issued fuel. Import whole fleets by CSV.
Included in your planAuthorise a fill with an auto-numbered ticket, or carry the printed serial from a paper booklet. Print three copies with a QR code. One open ticket per vehicle, and every ticket can be redeemed only once.
Included in your planEach fill records the odometer, litres and price per litre. Litres can never exceed the approved amount, the vehicle’s maximum fill or its tank, and the odometer can never go backwards.
Included in your planDistance off the expected route, too little fuel used since the last fill, a reading beyond a full tank’s range, or a fill too soon after the last are held for review. The person who referred a fill cannot approve it.
Included in your planGive the station a private link. Attendants sign in with their own PIN, scan the ticket QR and record the fill. They cannot approve exceptions or change the price.
Included in your planTag a ticket to an event and the fill posts as an event transport cost against a fuel station payable account, so the event P&L shows what transport really cost.
Included in your planNo fuel without an authorised ticket for a registered vehicle
Catch padded litres, odometer tampering and off-route trips at the pump
One ticket, one fill: no reusing or double-redeeming a ticket
A complete odometer and fill history per vehicle that carries across events
Know the real transport cost of every event, without a spreadsheet
Pay the fuelling station against a payable account that ties to each fill
Simple Setup
Add your fleet by hand or CSV upload, list the authorised drivers, and set the routes with their expected distances. Set fuel prices and the designated station in settings.
The fleet officer issues a ticket for a vehicle, driver and route with the approved litres, optionally tagged to an event. Print it or send the driver with the QR.
At the pump the attendant scans the ticket and enters the odometer and litres. A fill that breaks a rule waits for a supervisor; a clean one is recorded and costed to the event.
No. Each station gets a private link to a portal. Attendants sign in with their own PIN, which locks after repeated wrong attempts, and can only scan tickets and record fills.
It is held, not dispensed. The fill is referred to a supervisor with the reason, for example the distance since the last fill is outside the route’s tolerance. Fuel is only dispensed once the supervisor approves that exact reading.
Yes. A ticket can carry the serial printed on your booklet instead of an auto-generated number, so paper and digital records match.
No. Fleet & Fuel is a standalone module. Tagging a ticket to an event is optional; when you do, the fuel cost posts to that event’s financials.
Yes. Set the route distance tolerance, minimum fuel used and minimum hours between fills in settings, or set any of them to 0 to switch that check off. Backwards odometer readings and distances beyond a full tank’s range are always checked.
